Assign an acknowledgment template to gifts you want to acknowledge

In this article:

Does it matter if I'm sending acknowledgment letters or emails?

Whether you are sending a letter or email acknowledgment, the process for assigning the acknowledgment template is the same. Once you have created your letter or email acknowledgment template, you can assign it to one or more gifts to create your acknowledgment mailing or email.

Assign an acknowledgment template to an individual gift

  1. As you're creating a new gift, look for the Set acknowledgment dropdown menu:

2. Choose the acknowledgment you want to use from the list of available options:

Once you select the template, it will be attached to the gift record and will cause a letter to be dynamically generated that you will be able to download, print, and send (in the case of a letter acknowledgment) or an email to be be prepared to send (in the case of an email acknowledgment).

NOTE: To be able to send email acknowledgments from LGL, make sure you have already set up Direct Emailing.

Now, whenever you’re ready, you can generate and print your acknowledgment letters or queue your acknowledgment email for sending.

Assign the same acknowledgment template to multiple gifts

Adding the same acknowledgment template to more than one gift that you are entering manually is possible when you select the "Use values for next gift?" checkbox:

Assign an acknowledgment template to gifts in bulk

  1. Go to Fundraising > Acknowledgments, and click on the Unacknowledged Gifts tab:

Here you’ll see all of the gifts that have been entered into your database but which do not have an acknowledgment template yet attached and have not been marked as “Do not acknowledge in LGL”. (This is an option for gifts you have determined don’t need to be acknowledged via LGL.)

NOTE: Either marking a gift as “Do not acknowledge via LGL” or assigning an acknowledgment template causes the gift to have the status of "Acknowledged" within LGL, which prevents the gift from displaying on the Unacknowledged page or to appear among the “Unacknowledged gifts” alert on your Dashboard.

From the Unacknowledged gifts page, you can:

a. Assign an acknowledgment template individually to each of the gifts listed, or

b. Assign one template to all gifts in bulk

a. Assigning an acknowledgment template individually to each gift listed.

b. Assigning one template to multiple gifts at once.

Now, whenever you’re ready, you can generate and print your acknowledgment letters or queue your acknowledgment email for sending.

Marking select gifts as “Do not acknowledge” via LGL

There may be cases where you want to acknowledge some gifts with a handwritten note. Or it’s possible you send only an automated acknowledgment (receipt) for your online donations. For those cases, it is possible to mark the gift as not needing to be acknowledged via LGL. This option appears on the dropdown list of acknowledgment templates when you are adding or editing a gift record, and it appears among the acknowledgment options on the Unacknowledged page.
